Accounting and Benefits Manager
Location: Solana Beach, CA
PRIMARY RESPONSIBILITIES
Job Duties include, but are not limited to:

Proficiency in Deltek Vision accounting and project tracking software as applicable to the Architect/Engineer industry

Timecard processing (employees enter their timecards in Vision)
-
Reconciliation of payroll to labor
-
Payroll (outside service is used for final paycheck processing and distribution)
-
Payroll employee deductions reporting and payments for 401K and FSA 125 Plan (as applicable to individual employees)
-
Payroll journal entry
-
Accounts Payable (including A/P checks)
-
Subconsultants Payable (including checks)
-
Employee reimbursable expenses (either via payroll or A/P)
-
Cash disbursements
-
Accounts Receivable – billing and follow-up on delinquent accounts
-
Accounts Receivable – cash receipts
-
Bank deposits (including going to banks)
-
Month end close:
-
Journal entries (standard month end journal entries- depreciation, prepaids, etc.
-
Balance Sheet account reconciliations
-
“P” counts from plotter and copier for posting to projects and reimbursables
-
Bank account reconciliations
-
Contract Administration (assist Principals and Associates with contract language reviews; processing and mailing of contracts/signatures with clients)
-
Subconsultant agreement administration (assist Principals and Associates with developing subconsultant agreements; processing and mailing of contracts/signatures with subconsultants)
-
Human Resources and Benefits Administration (payroll deductions, vacation accrual and pay, 401k program, health insurance, employee records)
-
Financial Statements - monthly and annual year end (calendar year basis)
-
Maintain supplemental excel spreadsheets (i.e. billing projections, income statement forecast/cash flow forecast)
-
Create excel spreadsheets as required
-
Deltek Vision Project creation & maintenance
-
Deltek Vision reporting
-
Accounting filing and coordination with outside CPA consultant
-
Mail (retrieve from on-site mailbox and distribute)
-
Answer phones when not busy (automated voice messaging system is in place)
Office hours at Van Dyke Landscape Architects (VDLA) are as follows:
-
Monday through Thursday, 7:30 am to 5:30 pm with a one-hour lunch and
-
Friday 7:30 am to 11:30 am
-
Occasional overtime may be requested as needed.

You may take lunch at the hour of your choice.
This position reports to firm Partners as your immediate supervisors, and serves as a primary fiscal resource management for the firm. Performance will be reviewed during the initial 90 days of employment. Thereafter, company policy is to conduct employee reviews at least annually as an avenue for discussion on strengths and accomplishments, versus areas needing improvement. Employees are encouraged to provide similar “pro vs. con” comments to the Partners in an effort to keep communications open, and the work environment positive.

For all employees, most years the firm gives additional paid time off around the Christmas and New Year’s holidays, and depending on the calendar this sometimes includes Christmas Eve day. This extra paid time off is discretionary per the firm Partners. It is essentially an extra 4 days (or more) of paid vacation and gives employees time with family and friends at the holidays.
FIRM BENEFITS AFTER ONE FULL CALENDAR MONTH OF EMPLOYMENT
Based on our Insurance carrier guidelines, after completion of one full calendar month of employment:

Eligible for employee group/HMO health insurance and group/HMO dental coverage (Sharp Health Plan). Employer pays for insurance premium for employee; spouse and/or dependent health and dental care is 100% employee paid.
FIRM BENEFITS AFTER SUCCESSFUL COMPLETION OF 90 DAY PROBATIONARY PERIOD
At the completion of a successful 90 day ‘probationary period’ of employment:

Begin accrual of vacation, currently set at a rate of 40 hours annually for the first year of employment. Vacation would be accrued at 80 hours annually years 2 through 5. After year 5, vacation accrual rate goes to 120 hours annually. After 10 years, vacation accrual rate goes to 160 hours annually.
